Claiming Expenses when in a GP practice placement

All claims for expenses incurred by a trainee while working in a GP practice placement must be submitted in the month that they occur. Any claims received later than three months after they are incurred will not be processed.

Trainees who come under the Programme Lead Employer arrangement and are employed by the lead Hospital Trust will claim their expenses through their employing Trust.

Trainees who are directly employed by their practice should claim their expenses through Primary Care Services England. Claim forms and guidance are available on the PCSE website in the GP registrar reimbursementsClaims must be submitted by email to: PCSE.GP-payments@nhs.net

  • The email subject title must state: Practice Code - Name of Practice, County - type of claim (e.g. MDU expenses) - Trainee's name
  • Please keep a copy of your claim and a record when you submit it


GP
trainees can claim for the following through their employing hospital trust or through PCSE:

Medical Defence Subscription - Trainees can claim reimbursement of the additional medical defence cover required for when they are working in a practice. Reimbursement can only be claimed when a trainee is working in a practice. Where the medical defence subscription is spread over the three year training programme, claims for reimbursement must be submitted during each GP post. Any claim for reimbursement of medical defence subscription received after the completion of training (CCT date) will not be processed. 

Travel - Trainees can claim mileage costs in a GP placement when they have to use their car for practice purposes (e.g. home visits). Claims must be submitted on an monthly basis. Any claims received later than three months after they are incurred will not be processed.  Trainees submitting a claim should allow time for the completion of practice administration processes. 

Telephone - Trainees can claim telephone expenses according to the NHS Directions.  Claims must be submitted on an monthly basis. Any claims received later than three months after they are incurred will not be processed.  Trainees submitting a claim should allow time for the completion of practice administration processes.

Relocation Expenses

Trainees who are directly employed by a GP practice can claim for removal expenses through the GP School, Health Education England, Wessex, Southern House, Otterbourne, Winchester SO21 2RU in accordance with the NHS Directions.


If you are employed by a Hospital Trust, please contact Medical HR. All claims for removal expenses must be submitted within three months of starting in post.
